From Review to Retention: Data, Systems & Workflows for Physical Collections Assessment

Abstract

This presentation outlines the management strategies for assessing the physical collections of the University of Miami Libraries. As part of our library master plan, we have initiated a review to ensure our collections align with current research and teaching needs.

We have analyzed our circulating print collections to determine which items should remain on campus, be moved to off-site storage, or be withdrawn. For benchmarking, we compared our Alma catalog with WorldCat holdings using OCLC GreenGlass services.

To streamline the review process and track decisions on relocation or withdrawal, we have collaborated with liaison librarians using Cognito Forms. We have also integrated Alma Analytics and Cognito Forms with Microsoft Power BI for project monitoring, data insights, and visualization.

As we transition from the project phase to ongoing assessments, we recently piloted the Alma Collection Development workflows focused on retention, enabling us to record decisions in our catalog.
