Abstract

Research is a sea of discovery and some of its ‘pearls’ cannot be seen by everybody.

Institutional repositories aim to make research outputs compliant to FAIR principles, but not all can be openly accessible. Sensitive material or protected by intellectual property (IP) may require restricted access demanding technical solutions and institutional decision-making.

The presentation focuses on the implementation of the Request Access functionality, with particular emphasis on the key decisions made when adopting it.

Drawing on our experience, we will explore critical decisions points, including who approves access requests; how institutional policies on IP and copyright shapes the access conditions; how workflows balance efficiency and oversight; and how researchers are supported with training and guidance. We will also reflect on challenges and unexpected complexities encountered during the implementation.

Attendees will gain a practical insight on implementing this new functionality.
